2. Purposes and legal bases of processing

We process your personal data for the following purposes:

  • Handling the inquiry and preparing a quote — based on your consent (Art. 6(1)(a) GDPR) expressed by ticking the appropriate consent box in the contact form, and to take steps prior to entering into a contract at your request (Art. 6(1)(b) GDPR).
  • Contract performance (if you decide to engage us) — based on Art. 6(1)(b) GDPR.
  • Compliance with legal obligations imposed on TRAVIO (e.g. tax settlements, archiving of accounting records) — based on Art. 6(1)(c) GDPR.
  • Establishment, pursuit or defence of legal claims — based on our legitimate interest (Art. 6(1)(f) GDPR).
  • Website analytics and service quality improvement — based on your consent expressed through the cookies banner (Art. 6(1)(a) GDPR).

3. Scope of data processed

In the contact form we collect the following data:

  • full name
  • company name (optional)
  • email address
  • phone number
  • message content and attachments (e.g. sketches, plans)

Additionally, when you visit our site, we collect technical information such as: IP address, browser type, operating system, visit time, traffic source — details in the „Cookies" section.

4. Data retention period

  • Contact form data — retained for the period necessary to handle the inquiry and prepare and present an offer, no longer than 24 months from the last contact, unless a contract is concluded.
  • Data related to contract performance — for the duration of the contract and the period arising from applicable law (primarily 5 years for tax documentation).
  • Analytics data (cookies) — in accordance with the settings of analytical tools (Google Analytics 4: up to 14 months).

5. Data recipients

Your data may be shared with the following categories of recipients:

  • IT service providers (website hosting, email, customer relationship management tools)
  • accounting and legal service providers — to the extent necessary to provide their services to us
  • entities authorised to obtain data under applicable law (e.g. tax authorities, courts)
  • subcontractors (e.g. installation, transport companies) — only to the extent necessary to perform the order

Some of our service providers (e.g. Google Ireland Limited providing Google Analytics, Cloudflare Inc. providing form security) may process data outside the European Economic Area. In such cases, the transfer is based on standard contractual clauses approved by the European Commission or other appropriate legal mechanisms.

In connection with the processing of your personal data, you have the following rights:

  • right to access your data and obtain a copy of it
  • right to rectification (correction) of your data
  • right to erasure of data („right to be forgotten")
  • right to restrict the processing of data
  • right to data portability
  • right to object to the processing of data
  • right to withdraw consent at any time (withdrawing consent does not affect the lawfulness of processing carried out before its withdrawal)

We apply appropriate technical and organisational measures to protect your personal data against unauthorised access, loss or destruction. Communication with the site takes place via encrypted HTTPS connection. The contact form is protected by an anti-spam mechanism (Cloudflare Turnstile).

9. Profiling and automated decision-making

We do not make decisions based solely on automated processing of your personal data that would produce legal effects or similarly significantly affect your situation.

10. Changes to the privacy policy

This privacy policy may be updated periodically to reflect changes in applicable law or in the way we process your data. We will notify you of any material changes in a visible manner on the site. The date of the last update is shown at the beginning of this policy.
